Refunds for involuntary withdrawal (i.e. medical reason with a doctor’s note, family move, etc.) will be considered by the Board upon request by the affected gymnast or family.

Refund considerations for involuntary withdrawal are:

1. All refunds are to be approved by a majority of the Executive, which shall then accordingly direct the Treasurer to issue or not to issue a refund. The decision shall be communicated to the athlete or family.

2. If a gymnast is injured or becomes ill during the period of time in which he or she is registered for a gymnastics program and as a result, is unable to participate in any aspect of the program for a period to more than four consecutive weeks, that gymnast or his or her parents may submit a request, supported by a written letter from a physician to the Executive requesting a partial refund of fees and the Executive shall consider the request based on the intent of the policy.

3. No refunds shall be granted if a gymnast is able to participate in some aspect of the program during the course of injury or illness, or if the gymnast is unable to participate in any aspect of the program for less than four consecutive weeks.

4. In the case of a competition, registration fees may be refunded at any time if the athlete is unable to participate for medical or injury-related reasons, or chooses not to participate in the competition, provided the club has not already paid the competition registration fees or is obliged to do so.

5. The Executive, at its sole discretion, can waive the provisions of this Policy, if it considers that there are sufficient, reasonable and compassionate grounds for doing so.
